Why charity gala is a special case within corporate merch
A charity gala is not an ordinary event: every piece handed to attendees — from the welcome kit at the door to the table gift during dinner and the item that comes up in a silent auction — carries symbolic weight. The object communicates the positioning of the organising foundation or association (Fundación Telefónica, Fundación La Caixa, Fundación Mutua Madrileña, Fundación ONCE, Fundación Bancaria La Caixa, Fundación Mapfre, Fundación Real Madrid, Fundación FC Barcelona, Fundación Princesa de Girona) and, at the same time, functions as a thank-you to the donor who has made a significant contribution.
The welcome kit is the first thing the guest receives and, therefore, the item that sets the tone. The most-requested formats in Spain are three: a canvas cotton tote with recycled leather handle and embroidered foundation logo (€60-110 per unit for 100-200 attendees); a rigid box in black cardboard with magnetic closure, customised with gold or silver stamping (€95-180 per unit); an RPET recycled tote with interior lining in corporate colour (€35-55 per unit for large runs). The choice depends on the dress code and positioning: a black-tie gala at the Teatro Real Madrid calls for rigid box with stamping; a daytime gala at Fira Barcelona with cocktail afterwards admits the premium canvas tote.
The table gift is what each guest discovers when seated. The most recurring options in the Spanish market: gourmet set with extra-virgin olive oil from Andalusia (PDO Sierra de Cazorla, PDO Priego de Córdoba, PDO Baena), Spanish wine with DO Ribera del Duero / Rioja / Priorat, acorn-fed Iberian cured meats (PDO Guijuelo, PDO Dehesa de Extremadura), nougats from Alicante or Jijona, premium preserves from Real Conservera Española (sardines, cockles, tuna). For charity galas the usual practice is to avoid items the guest already owns (generic mugs, reusable bottles) and to prefer author pieces with clear narrative.
Gala modalities and recommended combinations
The charity gala admits four main modalities with specific merch combinations. Institutional gala (corporate foundations, banks, insurers) — premium welcome kit, gastronomic table gift, individual-bid items with high symbolic value (experiences, trips, art lots). Charity dinner (medical associations, research foundations) — more functional welcome kit, mid-priced table gift, collectible-piece bid items. Cultural gala (museums, orchestras, theatres) — editorial welcome kit, editorial or local gastronomic table gift, art-lot or exclusive-experience bid items. Sports gala (clubs, federations) — sport welcome kit, table gift with local products, VIP-experience bid items from the club.
For each modality we recommend a mix of categories that covers the three functions. Welcome kit: €25-45 per guest for 100-300 people. Table gift: €35-90 per diner. Bid items: 5-8 lots with €250-3,500 value each. Residual merch bag for non-seated attendees or event staff: €8-22 per shot in tote with bottle, chocolate, notebooks. The total per guest typically runs €80-220 depending on the event tier; high-donation galas can reach €350-500 per guest.
Spanish charity galas with the largest budgets turn to products with PDO or craft certifications (Real Fábrica de Tapices, Loewe, Lladró, Cerámica de Sargadelos, Ubrique leather, Béjar blankets, Manila shawls with Designation of Origin). These items bring not only exclusivity: they justify the auction starting price because the donor knows they are acquiring a unique piece with verifiable cultural anchor.
Logistics, setup margin and venue delivery
Venue delivery is the most critical moment in the chain. We recommend 24-hour setup margin before the event to lay out table gifts, assemble welcome kits, set up the silent-auction corner and verify inventory against the guest list. For venues such as Hotel Ritz Madrid, Hotel Palace Barcelona, Museo Reina Sofía, Palacio de Bellas Artes Sevilla, Palacio de Congresos de Valencia, Bizkaia Aretoa Bilbao, Marbella Club, Círculo de Bellas Artes Madrid or Real Club de la Puerta de Hierro we coordinate with the venue production crew and the protocol department.
Logistic bands: M-30 express by company van (small and medium boxes, up to 800 kg per vehicle). Rest of peninsula 24-48 hours via SEUR, Correos Express or DHL Express España. Balearics 24 hours air or 4-6 days sea. Canary Islands by volume. For deliveries to venues with restricted hours (black-tie galas where entry is only allowed between 9:00 and 14:00) we schedule the delivery with safety margin and respect the venue protocol.
For galas with silent auctions the corp-merch.ES team can place the items on tables labelled with lot number, description and minimum bid, and remove unawarded lots at the end of the event. This white-glove service carries an additional €350-600 cost depending on number of lots and event duration. For galas with more than 400 guests we recommend adding 2-3 staff to maintain layout and registration pace.
Tax compliance and donation
Cash donations to legally recognised foundations grant 25-80 % deduction under the applicable tax regime (Law 49/2002 on the tax regime of non-profit entities and fiscal incentives for patronage). Merch delivered as a gift has different treatment: if invoiced as a complimentary delivery tied to an economic activity (for example, courtesy gift at a corporate gala), it counts as a deductible expense in Corporate Tax with 21 % IVA invoiced via FACe/SII (AEAT).
For recipient foundations that receive merch as in-kind donation, the accounting treatment follows the General Accounting Plan adapted to non-profit entities (Royal Decree 1491/2011). The foundation proves receipt of merch with a valued delivery note, which enters its accounting as in-kind income and as fixed asset or inventory according to the intended destination (internal use, auction, delivery to donors). We recommend that each gala carries separate delivery note for donated merch and separate invoice for purchased merch to simplify traceability.
The IVA rate applicable to merch delivered at charity galas is the general 21 % unless the product is reduced rate (10 % for basic food, 4 % for books and magazines, 0 % for unprocessed staple foods). IGIC 7 % applies to deliveries in the Canary Islands and IPSI in Ceuta and Melilla by local council. Supported IVA deduction by the foundation follows the standard regime of non-profit entities, with no specialities.
Real cases and awarded combinations
In the last twelve months we have worked with foundations such as Fundación Telefónica (annual gala at Círculo de Bellas Artes Madrid, 280 guests, welcome kit in rigid black box with gold stamping, table gift with PDO oil and Rioja wine, bid items with Telefónica Tech experiences), Fundación Mutua Madrileña (charity dinner at Hotel Palace Madrid, 220 guests, welcome kit in GOTS-organic cotton tote, items with art lots), and Fundación Bancaria La Caixa (cultural gala at CaixaForum Madrid, 180 guests, editorial welcome kit with exhibition catalogue, items with private winery visits).
For the annual charity dinner of a medical foundation at Hospital Universitario La Paz, we delivered 150 welcome kits in GRS 50/50 recycled canvas and bid items that included Puig premium cosmetic lots and gastronomic experiences at Michelin-starred restaurants. The invoice was issued with 21 % IVA broken out and the foundation recovered the supported IVA in the quarterly return.
For the charity gala of a sports foundation at Palacio de los Deportes Madrid, we delivered 320 welcome kits in sport format (280 g/m² fleece hoodie with embroidered logo, RPET tote with thermal bottle), 8 bid items (VIP match experiences, signed-equipment lots, European-match trips) and residual merch bag for staff with local La Rioja products.
