ICE Barcelona is the largest B2B gaming trade show in the world and each edition brings over 600 exhibitors and 35 000 trade visitors to the Gran Via halls. The 2027 edition marks the first full year at the Barcelona venue after the move from London, which adds a more international profile from Latin America, Eastern Europe and Asia and a more demanding customs and freight operation for exhibitors arriving with extra stock. For brand teams the issue is not just printing the artwork: it is coordinating quantities by shift, pre-labelling by recipient tier, avoiding queues at the venue ramp, and keeping margin for emergency restock at the halls when stock runs out before noon of day two.
A typical brief that lands on our desk combines polos and hoodies with the exhibitor's logo and country of origin for booth staff, light layers for aisle rotations (January at L'Hospitalet can be cold outdoors and warm inside the halls), recycled-cotton tote bags and 500 ml bottles with single-colour engraving for fast counter hand-out, thick-ribbon lanyards with metal snap and credential holders for the thousands of credentialed trade visitors, 5 000–10 000 mAh power banks with integrated cable for qualified leads, and gift boxes with engraved glass, pen and notebook for VIPs and operators invited to dinners at the Palau de Congressos or Hotel Arts. The Madrid hub handles the full order and ships by road (SEUR 24, Correos Express, GLS Spain) to a corporate hotel near Plaça Espanya, to a warehouse in the Zona Franca or to a named consignee at the stand; bulky lots (over 12 packages) enter the Fira Gran Via ramp with prior appointment from the exhibitor manual.
For ICE 2027 we add two recurring pieces: a compact 12 L backpack with the exhibitor's logo for press kits travelling from Madrid, Lisbon and Milan, and a numbered gift set for regulators and association officials. These sets are delivered in neutral packaging with personalised card and are documented with a signed delivery note at destination. The customs flow for stock crossing from outside the EU (China, post-Brexit UK, UAE, Singapore) is managed with the client's freight forwarder; we invoice in EUR and deliver the material to the forwarder's warehouse in Madrid or Barcelona with the import DUA already processed by the client.

The ICE Barcelona calendar leaves little margin: the average exhibitor locks the product list and quantities six weeks before doors open and needs a physical prototype approved four weeks before to avoid marking errors that get paid in reprints. We usually hold reserved stock in the Madrid hub for recurring pieces (white polos, tote bags, lanyards, bottles) that we can produce and deliver in 7–10 working days; for pieces with bespoke embroidery (exhibitor logo, country of origin, stand number) the window stretches to 10–14 working days. For VIP sets and gift boxes we recommend closing the order 4–5 weeks before so we can present a physical prototype to the client and validate packaging, engraving and personalised card.
The Barcelona hub is reserved for last-mile and emergency restock: when stock runs out before noon of day two we can print a top-up with scheduled delivery to the exhibitor's stand in under 24 hours via SEUR 24 from the Zona Franca warehouse or directly from our own facilities. The customs flow for lots arriving from outside the EU is coordinated with the exhibitor's freight forwarder and stays out of our invoice: we deliver the goods with the import DUA already processed by the client, ready to enter Fira Gran Via through the North ramp (access via Carrer de la Fira).
The B2B invoice is issued in EUR with 21% VAT added, dispatched via FACe and the Suministro Inmediato de Información (SII) of the Agencia Tributaria (AEAT); for intra-EU clients with a valid VIES number reverse-charge applies without Spanish VAT; for UK and non-EU clients the invoice is issued without VAT citing the relevant EU directive article. Each delivery is confirmed with a signed delivery note at destination and, when requested, with a photo of the material unloaded at the stand or at the corporate hotel concierge. The returns flow is documented on the 21 January breakdown delivery note and is coordinated with the exhibitor's freight forwarder so that unsold stock returns to the client's warehouse in Madrid, Lisbon, Milan or London within 48–72 h.
ICE Barcelona 2027 takes place 18–20 January 2027 at Fira Barcelona Gran Via (Av. Joan Carles I 64, L'Hospitalet de Llobregat, Barcelona), with the ICE Vox pre-conference on 17 January and the build-up days on 16–17 January.
