GITEX Global is the largest tech trade show for the Middle East, Africa and South Asia and each October brings more than 6 000 exhibiting companies and 200 000 professionals to the Dubai World Trade Centre halls and to the co-located GITEX Cyber Valley, GITEX Future Stars and Expand North Star (Dubai Harbour) formats. The 2026 edition maintains the expansion with a focus on generative AI, sovereign cloud, cybersecurity, robotics and smart mobility. For brand teams the issue is not just printing the artwork: it is coordinating quantities by shift, meeting UAE market packaging rules, avoiding queues at the DWTC ramp with prior slot from the exhibitor manual, and keeping margin for emergency restock when stock runs out before noon of day two.

A typical brief that lands on our desk combines technical polos and T-shirts with the exhibitor's logo and country of origin for booth staff, hoodies for account managers walking the halls, softshell-style light layers for the open-air receptions at the Burj Al Arab and Dubai Creek Harbour, recycled-cotton tote bags and 500 ml bottles with single-colour engraving for fast counter hand-out, thick-ribbon lanyards with metal snap and credential holders for the thousands of credentialed trade visitors, 10 000 mAh power banks with integrated cable and USB-C hubs for qualified leads, and gift boxes with engraved glass, datasharp and premium notebook for VIPs and government delegates invited to dinners at the Burj Al Arab or Atlantis The Royal. The Madrid hub handles the full order and ships by road (SEUR, Correos Express) to the freight forwarder's warehouse at Madrid-Barajas with an air booking reserved to Dubai (EK, EY) or by sea to the port of Jebel Ali (Dubai); bulky lots (over 16 packages) are consolidated at the forwarder's warehouse with the EU export DUA and the UAE import DUA already processed by the client.

For GITEX 2026 we add two recurring pieces: a compact 15 L backpack with the exhibitor's logo for press kits travelling from Madrid, Riyadh, Lagos and Mumbai, and a numbered premium-boxed gift set for government delegates and UAE Cybersecurity Council officials. These sets are delivered in neutral packaging with personalised card in Arabic and English, comply with CE/UKCA marking rules for the European market and are documented with a signed delivery note at destination. The customs flow for stock crossing from the EU to the UAE is managed with the client's freight forwarder; we invoice in EUR with the export DUA and deliver the material to the forwarder's warehouse in Jebel Ali with the AEAT paperwork ready for inspection.

High-volume booth giveaways

Recycled-cotton tote bags with two-colour screen print in English and Arabic, 500 ml stainless-steel bottles with single-colour engraving, A5 notebooks with recycled-paper cover and Arabic bookmark, blue-ink pens with cardboard barrel, thick-ribbon lanyards with metal snap and transparent credential holders for GITEX badges.

10 000 mAh power banks with integrated cable and fast charging, MagSafe wireless chargers, multi-port USB-C hubs, cork and bamboo desk sets, and in-ear headphones with charging case and ANC — reserved for conversations with CISOs, CSOs and procurement teams identified in the exhibitor CRM.

VIP, press and government-delegation kits

Production, VAT and international delivery to DWTC

The GITEX calendar leaves little margin: the average exhibitor locks the product list and quantities eight weeks before doors open and needs a physical prototype approved five weeks before to avoid marking errors that get paid in reprints. We usually hold reserved stock in the Madrid hub for recurring pieces (white polos, tote bags, lanyards, bottles) that we can produce and deliver in 7–10 working days; for pieces with bespoke embroidery (exhibitor logo, country of origin, stand number) the window stretches to 10–14 working days. For VIP sets and gift boxes we recommend closing the order 5–6 weeks before so we can present a physical prototype to the client and validate packaging, engraving and personalised card.

The Madrid hub consolidates the full order and delivers to the client's freight forwarder at Jebel Ali with an air booking reserved to Dubai (EK 142, EY 454) or by sea to the port of Jebel Ali (Dubai) with 14–18 days transit; bulky lots (over 16 packages) require separate consolidation and the EU export DUA. The customs flow for lots arriving from the EU to the UAE is coordinated with the client's freight forwarder and stays out of our invoice: we deliver the goods with the AEAT export DUA and the paperwork ready for the UAE clearance, which the client processes with their in-country customs agent. For direct delivery at the exhibitor's stand, the DWTC Sheikh Zayed ramp has limited loading windows (morning of 10 and 11 October) and requires a delivery note signed by the exhibitor and a prior slot from the exhibitor manual.

The B2B invoice is issued in EUR with 21% VAT added, dispatched via FACe and the Suministro Inmediato de Información (SII) of the Agencia Tributaria (AEAT); for intra-EU clients with a valid VIES number reverse-charge applies without Spanish VAT; for UK and non-EU clients the invoice is issued without VAT citing the relevant EU directive article. Each delivery is confirmed with a signed delivery note at destination and, when requested, with a photo of the material unloaded at the stand or at the corporate hotel concierge on Sheikh Zayed Road. The returns flow is documented on the 17 October breakdown delivery note and is coordinated with the client's freight forwarder so that unsold stock returns to the client's warehouse in Madrid, Riyadh, Mumbai or London within 48–72 h.

Recommended planning timeline

  1. 8–10 weeks before (early August / September): lock the product list, quantities per shift and country, and marking method (embroidery, screen print, laser engraving, DTF).
  2. 5–6 weeks before (mid-September): approve a physical or production-grade sample from the Madrid hub, validate the logo and artwork in Arabic and English against the GITEX 2026 edition, and book the delivery window at DWTC with prior appointment.
  3. 3–4 weeks before (late September / early October): close production, run quality control and apply recipient labelling (hyperscalers, scaleups, government delegations, press, VIP).
  4. Event week (10–11 October build-up / 12–16 October show): deliver to the freight forwarder's warehouse at Jebel Ali with air booking to Dubai (EK, EY) or by sea to the port of Jebel Ali (Dubai); final delivery to the exhibitor's stand with prior appointment or to the corporate hotel concierge on Sheikh Zayed Road.

Frequently asked questions — GITEX Dubai 2026

When and where does GITEX Dubai 2026 take place?

GITEX Dubai 2026 takes place 12–16 October 2026 at Dubai World Trade Centre (DWTC), with GITEX Cyber Valley and GITEX Future Stars co-located at DWTC and Expand North Star at Dubai Harbour. The official dates are confirmed on gitex.com; we use that reference for every shipment that cannot tolerate a date slip.

Can you deliver directly to the stand at DWTC?

Yes, with a prior slot. The DWTC Sheikh Zayed ramp has limited loading windows (morning of 10 and 11 October) and requires a delivery note signed by the exhibitor and a prior slot from the exhibitor manual; we recommend combining that delivery with backup stock at the freight forwarder's warehouse in Jebel Ali or at the corporate hotel on Sheikh Zayed Road for emergency restock during the show.

What about exhibitors needing bilingual Arabic-English artwork?

We work with native Arabic and English layout and review. We validate RTL/LTR reading order, typographic contrast and the correct diacritics of Modern Standard Arabic; if the brand requires its own corporate typeface, we license and validate it before production. For sensitive materials we recommend additional review by a sworn translator or by the client's in-country team.
